How to Prepare Your Music Catalogue for Sync Licensing

 

Music supervisors rarely evaluate a song in a vacuum. They are also evaluating whether the track can be cleared, delivered and approved on a production schedule. A brilliant recording with uncertain ownership or missing files may be harder to use than a slightly less obvious track with a complete rights package.

That does not mean artists should make generic “background music.” Sync readiness is operational. It means the creative identity stays intact while the catalogue becomes easy for a legitimate buyer, supervisor, library or publisher to understand.

The strongest independent catalogues answer five questions quickly: Who owns the composition? Who owns the master? Can every owner approve the use? Are the files and metadata ready? Does the artist know which terms still require negotiation?

Clear Both Sides of the Copyright

A commercial recording normally involves at least two distinct layers: the musical work—the song written by composers and lyricists—and the sound recording, or master. Those layers may be owned or administered by different people.

The U.S. Copyright Office’s guidance on sound recordings explains that the authorship of a recording is separate from the authorship of the underlying music, lyrics or other content. In Canada, CMRRA describes synchronization licensing as permission to use a copyrighted song in audiovisual content such as film, television or advertising. CMRRA also says it no longer handles sync licences; permission is obtained from the publisher or copyright owner directly.

For an independent artist, the practical lesson is not jurisdictional paperwork. It is that a pitch should identify control of both layers accurately. If one producer owns part of the master and three writers control the composition, “I made the song” is not enough clearance information.

Collect signed split sheets, producer agreements, featured-artist releases and any transfer or administration agreements. Confirm that shares add up and legal names match registrations. If a sample or interpolation is present, do not call the track one-stop until the underlying permissions are documented. CMRRA notes that an uncleared sample can require permission from owners of both the song and the original recording.

Understand What “One-Stop” Really Promises

In sync conversations, “one-stop” generally signals that a single contact can authorize all necessary rights. That can make a track attractive when a production has a short deadline. But the phrase is only useful when it is true.

An artist may control 100 percent of the master while a publisher administers a co-writer’s share of the composition. In that case, the artist cannot promise complete approval alone. Instead, provide a precise ownership map and the contact information for every required party.

Speed still matters. Agree internally on who can quote, who must approve sensitive uses and how quickly collaborators will respond. A rights package that takes four days to reconstruct every time a request arrives is not genuinely ready.

Deliver More Than the Streaming Master

A streaming link is useful for discovery, but it is not a production-delivery package. Editors may need a full-resolution WAV, an instrumental, a clean version, a vocal-free ending or a shorter cut. Dialogue often occupies the same frequency range as lead vocals, so an instrumental or reduced-vocal alternative can make the track easier to place without changing its identity.

Prepare only versions you can identify confidently. At minimum, consider:

  • Full mix

  • Instrumental

  • Clean version when explicit lyrics are present

  • Performance track without lead vocals, if different from the instrumental

  • Stems or grouped submixes when requested

  • A short edit only when it has been intentionally arranged and checked

Every alternate should be mastered consistently enough that an editor can compare it without a dramatic level or tonal jump. Use clear filenames such as Artist_Title_Instrumental_24bit48k.wav, not final_mix_NEW_7.wav.

Make Metadata Useful to a Human

Metadata is not merely a collection of codes. A supervisor needs to understand the sound, lyrical subject and clearance situation quickly.

Create a catalogue sheet with the official title, artist, writers, publishers, master owner, contact details, ISRC, release status, explicit-language status, genre, mood, tempo, key, vocal type and a concise description of the track. Include whether instrumental and clean mixes exist.

Use descriptors that are specific enough to search but honest enough to trust. “Tense minimalist electronic pulse with a restrained vocal and late emotional lift” is more useful than a pile of contradictory moods. Do not attach the names of famous artists as if similarity alone were a licence to trade on someone else’s brand.

Lyrics matter. Provide an accurate lyric sheet and flag words or themes that may restrict broadcast use. If the track contains a recognizable quote, sample or public speech, confirm the rights position before pitching.

Build a Delivery Folder That Can Move Fast

Use one controlled source of truth rather than sending attachments from multiple inboxes. A clean folder can contain:

  • Lossless audio and alternate mixes

  • A one-page metadata and ownership sheet

  • Lyrics

  • Artwork or approved artist stills when requested

  • Links to agreements stored securely

  • A contact who is authorized to discuss terms

Permissions should be set so the recipient can actually access the files, while sensitive agreements remain restricted. Keep a change log when rights, contact details or catalogue administration changes.

Pitch the Right Song, Not the Whole Folder

Preparation does not justify mass pitching. Read the brief, respect submission instructions and send a small number of tracks that genuinely fit the scene, tone, territory and budget. If a brief requests one-stop ownership, do not bury an ownership complication in a footnote.

Avoid promising a placement, a fee or a specific turnaround before terms are negotiated. Sync agreements can address media, territory, duration, exclusivity, options, edits and promotional use. When a deal is meaningful or unfamiliar, legal advice can be worth the cost.

Final Takeaway

A sync-ready catalogue is creative work supported by clear rights and clean operations. Confirm master and composition ownership, collect agreements, prepare useful alternate mixes, standardize metadata and establish a fast approval path.

The goal is not to eliminate negotiation. It is to remove avoidable uncertainty so the music can be considered on its merits—and cleared responsibly when the right opportunity appears.
